Why tradespeople choose VioTrade

Any pattern you work to

Weekly, every 2 or 4 weeks, monthly, yearly, several days a week, only in certain months, or a set time after the last visit. A first visit can have its own price and checklist.

Visits booked ahead for you

You choose how far ahead visits go in the diary and VioTrade keeps them topped up. Skip one, pause a customer for the summer or end it on a date, and the rest carries on.

Due, then booked

For yearly services and inspections, a visit can sit as "due" in a window and wait for a date, so you book it with the customer instead of guessing a day a year ahead.

Bank holidays and closures

Decide what happens on a bank holiday or when you are closed: work it, skip it, or move to the next working day. Every visit keeps its place in the cycle.

Invoiced the way they pay

Bill after each visit, once a week or month for everything done, or as a maintenance plan with a fixed amount. Invoices wait for you to check by default, or go out by themselves when nothing changed.

Extras and materials

Offer add-ons like an oven clean or a conservatory roof, and add standard materials every visit. Ticked on the day, approved if needed, and added to the bill.

Every asset on the visit

One visit can cover every boiler, alarm panel or unit at a site, with readings and the certificate needed before it can be finished. The certificate's next due date sets the next visit.

A link for your customers

Customers can skip a visit, pause, ask for an extra or book a time that suits them from a link you send, within the notice and limits you set. You are told each time.

Contracts and rounds

Group a commercial customer's work under one contract with their PO, renewal date and yearly price rise, and see what it really earns. Keep rounds in running order and move a rain day without losing the cycle.

How it works

01

Pick a starting point

Choose a ready-made template for your trade, or set your own pattern, price and checklist. Add several customers at once, or turn an accepted quote into a recurring job.

02

Visits fill the diary

Each visit is a normal job: on the diary, on the right person's phone, with its checklist, notes and photos. Change the pattern and every visit not yet touched follows.

03

Finish and get paid

When a visit is finished it is billed the way you chose, and anything waiting for you is in one list. Visits that are due but not booked, customers who could not be reached and anyone owing too much are flagged for you.

Built for UK tradespeople

Built for UK regular work: England and Wales, Scotland and Northern Ireland bank holidays, customers who pay by Direct Debit or cash on the day, yearly gas and fire safety servicing driven by the certificate date, and VAT handled on every automatic invoice.

Frequently asked questions

What kinds of recurring work does it handle?

Any work you go back to on a pattern: domestic and commercial cleaning, window and gutter rounds, garden maintenance, yearly boiler and gas safety servicing, fire alarm and emergency lighting checks, pest control contracts, HVAC maintenance and more. There are ready-made templates for common trades.

Do I have to invoice every visit?

No. You choose per customer: an invoice after each visit, one invoice a week or a month for everything done, a fixed maintenance plan amount, or no invoice at all. Invoices are held for you to check unless you tell VioTrade it can send them.

What happens when the person who usually does the visit is off?

You set the rule: leave it for you to sort, give it to a named backup, give it to whoever has room, or move it to a day they are in. Approved time off is taken into account automatically, and only that visit changes.

Can customers change their own visits?

Only if you switch it on. You can let them skip or pause with the notice you set, ask for extras, ask for a day, or book into a real free slot. Every change is shown to you, and extras can wait for your OK.

Do you collect Direct Debits?

Not yet. You can mark a customer as paying by Direct Debit through your own bank or provider, and their invoices say so instead of asking for payment. Collecting Direct Debits inside VioTrade is on the way.

Does it work on the phone?

Yes. Visits appear on each person's phone with a Today screen, and they can start and finish visits, tick extras, enter counts and readings, note cash taken and record when they could not get in, even with no signal. Setting up billing, contracts and rounds is done on the web.

Is it extra?

No. Recurring jobs are part of the one VioTrade plan, with no add-on to buy.
